Client onboarding in Notion — freelance kickoff checklist
You closed the deal. Then you spend half a day rewriting the same welcome email, hunting for logo files in Slack, and discovering on day three that nobody owns brand guidelines.
Client onboarding in Notion works when it is boring and repeatable: one welcome, one checklist, one assets request, one comms agreement. If you want that pack ready to import (Markdown + CSV SAMPLE databases), grab Kickoff ($12). Free Notion is enough — no paid plan required for this workflow.
Why freelancers skip onboarding (and pay later)
- Welcome email feels “optional” when everyone is excited to start.
- Assets arrive late — or as low-res screenshots in chat.
- Feedback channels multiply (email + Slack + WhatsApp + comments).
- Decision owners stay vague until a late-stage revision war.
A lightweight Notion hub does not replace your contract. It makes the first week predictable so delivery can start on time.
Minimum Notion structure
| Page / DB | Job |
|---|---|
| Clients | Company, primary contact, terms, payment link, notes |
| Projects | Linked client, status, start/end, deposit status |
| Intake | Assets, access, brand, stakeholders — checklist rows |
| Kickoff page | Welcome swipe, checklist, assets request, comms expectations |
Import tip: Notion’s free plan can import Markdown and CSV. Duplicate your template once per engagement, delete SAMPLE rows, then fill real names. You do not need a public “duplicate template” link.
Welcome email (swipe)
Freelance kickoff checklist
- Contract signed + deposit received (or terms confirmed in writing).
- Primary contact and decision owner named.
- Goals / success criteria in one short paragraph.
- Assets list sent; due date set.
- Access: tools, accounts, folders, brand kit.
- Comms channel + meeting cadence agreed.
- First deliverable date on the calendar.
- Invoice schedule and payment method confirmed.
Assets request (keep it specific)
Vague “send everything” emails fail. Ask for formats and owners:
- Logo: SVG / PNG, light and dark if available
- Brand guide or color/font notes
- Existing copy, screenshots, or competitor links
- Analytics / CMS / hosting access (role-based, not shared passwords in chat)
- Stakeholder list with who must approve
Comms expectations (short is better)
Put this in Notion and paste a summary in the welcome email:
- Primary channel: one place for decisions (not five).
- Response window: e.g. 1 business day for blockers.
- Feedback rounds: how many are in scope.
- Urgent path: what counts as urgent and who to ping.
