Freelancer client pipeline — Notion or Excel, lead to paid
By Nydaymuse · Updated
What belongs in a freelancer client pipeline?
Four related lists: who the client is, which deal stage they sit in (Lead → Paid), which project is live, and which invoices are open. You only need one home base — Notion or a spreadsheet — as long as every open deal has a next action and a date.
A Lead → Paid pipeline gives you a place to review who needs a nudge, what is still unpaid, and which projects are in flight. Choose the Notion imports or the workbook to fit the way you keep your records.
Lane is Nydaymuse’s $12 dual-format client pipeline: the same Clients, Pipeline, Projects, and Invoices structure as CSV imports for Notion and as an XLSX workbook. Pick one. Do not sync both unless you enjoy double entry.
Lane — dual Notion + Excel pack ($12)
One zip. Notion CSVs + manual import/formula/view setup guide, or open Lane-Client-Pipeline.xlsx (Dashboard, Clients, Pipeline, Projects, Invoices, Weekly Review). SAMPLE data included. Replace sample inputs while preserving Pipeline column I and Invoices column J formulas. Buy once. No support.
49 prepared records per data sheet (rows 2–50, including SAMPLE rows). Before adding more, extend row formulas, table/filter ranges, dropdown and number-validation ranges, and the corresponding Dashboard summary ranges using the README. Keep all summary ranges aligned.
Recalculation tested in LibreOfficeDev 26.8 (development build). Native Excel, Google Sheets and live Notion import were not tested; check formulas, dates and filters in your chosen app. Enable Automatic calculation and run a full recalculation on opening/importing and after edits; verify date-dependent results before relying on them.
Why dual format beats format lock-in
Lane offers two formats for the same pipeline and invoice-record workflow: CSV imports with manual setup in Notion, or an XLSX workbook. Choose one working copy; the two formats do not sync automatically.
Lane is not a replacement for deep money sheets. Pair it with Ops when you want aging dashboards, and with Kickoff when a new client needs welcome docs.
Stages that match real freelance work
Use short stage names you will actually move:
| Stage | Meaning |
|---|---|
| Lead | First contact or inbound interest |
| Quote | Pricing shared |
| Proposal | Formal proposal out |
| Negotiation | Terms or price still open |
| Contracted | Signed or deposit agreed |
| Deliver | Work in progress |
| Paid | Invoice collected |
| Lost | Closed-lost — park it |
Open and weighted open pipeline use Lead, Quote, Proposal, Negotiation, Contracted and Deliver. Paid is reported separately; Lost, blank and unrecognized stages are excluded from both open totals.
Outstanding invoices are Sent or Overdue. Days overdue are calculated only for those statuses: due today = 0, yesterday = 1. Paid, Draft and Void return 0. Missing or invalid due dates and unrecognized statuses show a message; invoice status is updated manually.
Every open deal needs a next action and a due date. Without those two fields, a Kanban board is decoration.
Friday 15-minute review
- Move Pipeline cards that changed stage.
- Fill next action + due date for every open deal.
- Check Sent / Overdue invoices past their due date, and resolve missing dates or status messages.
- Update project % complete and hours logged.
- Flag Active / Retainer clients with last contact strictly more than 14 days ago; review missing contact dates separately.
For reminder wording, see late payment email templates. For a one-page invoice layout, free Slip works offline.
Review your spreadsheet changes
Open the free, open-source Sheet Check to compare two CSV or XLSX tables by a key column and inspect duplicate or missing keys. It processes files in your browser. Keep your original files: it does not recalculate formulas, validate product-specific business rules, or certify a workbook.
Client pipeline questions
Should I use Notion and Excel at the same time?
No. Pick one home base. Lane includes both formats so you can choose — not so you maintain two sources of truth.
Is Lane a live Notion duplicate link?
No. Import the CSVs, then set property types and add the formulas and filtered views in the guide. Relations and rollups are optional manual setup; matching text IDs do not create relations automatically.
How is Lane different from Ops or Client CRM?
Ops is the deeper money workbook. Client CRM is Notion-only contacts. Lane is the dual-format Lead→Paid operating pack: clients, deals, projects, and invoices together.
